Staff Accountant – Part Time

Do you have a flair for details and accounting principles?  Do you want to combine those skills to benefit our nonprofit?  The American Brain Tumor Association (ABTA) (located near the Chicago O’Hare Airport) is a steadfast advocate on behalf of the brain tumor community in the U.S. where we help patients, caregivers and their loved ones. Our mission is to advance the understanding and treatment of brain tumors with the goals of improving, extending and, ultimately, saving the lives of those impacted by a brain tumor diagnosis.

Join us as a part-time Staff Accountant where you will be responsible for ensuring timely processing and auditing credit card expense reports submitted by employees, resolving various discrepancies while reconciling the corporate credit card statement, assisting employees and maintaining the travel expense software (Nexonia), vendor files, ACH and W-9 binders. Additionally, the incumbent will be responsible for Account Receivable (i.e. invoicing, applying payments, collections calls, reconciling accounts receivable), Accounts Payable, assisting the Senior Accountant with maintaining the restricted income spreadsheet, and month-end and year-end closing activities.

This is a part-time, hybrid position with two days in the office and one day working remotely.


Corporate Credit Cards

  • Auditing expense reports in accordance with our credit card policy.
  • Keeping records of employees who violate the provisions of the credit card policy.
  • Assist employees with the credit card statements and expense reports.
  • Reconcile the corporate credit card in a timely manner.

Nexonia (Travel Expense Software)

  • Software maintenance.
  • Set up new accounts and make inactive the accounts of former employees.
  • Training of new employees.
  • Assist employees with expense reports and travel reservations.
  • Provide reports to management.

Accounts Receivable

  • Creating invoices for customers.
  • Follow up with payments (posting payments).
  • Collection calls.
  • Accounts Receivable folder maintenance
  • Contracts folder maintenance.
  • Provide reports to management.

Accounts Payable

  • Training on entering Accounts Payable invoices and paying our vendors (via, check, ACH & Wire)
  • Performing A/P tasks while the Senior Accountant is on PTO.


  • Filing deposits receipts.
  • Filing A/R invoices.
  • Filing vendors bills.
  • Maintenance of vendors master file, W9 binder, and ACH binder.
  • Filing monthly closing documents and annual financial audit documents.

Assisting the Senior Accountant with Restricted Funds master file maintenance.

Assisting the Senior Accountant during the annual financial audit and closings.

Additional tasks may be assigned.


  • At least 2 years experience as a Staff Accountant / Bookkeeper in the areas of Financial Statement preparation,  Accounts Receivable & Accounts Payable.
  • Associate’s Degree in related field, or related course work towards Bachelor’s Degree preferred.
  • Experience working with automated financial management systems (Sage Intacct and Nexonia will be a plus) and using Microsoft Office.
  • Ability to analyze and evaluate discrepancies, prepare reports, and recommend improved procedures.
  • Ability to exercise initiative and sound judgment and to react with discretion under varying conditions.
  • Ability to communicate effectively both verbally and written.
  • High attention to detail, strong process orientation, demonstrated capability to interface and maintain effective relationships with all departments and employees in a team-oriented environment.
  • Ability to work on multiple projects and function effectively both independently and as part of a team.
  • Knowledge of nonprofit accounting and auditing principles as established by the Financial Accounting Standards Board (FASB).

Work Environment

The work environment may involve moderate risks or discomforts, which require special safety precautions (e.g., automobile and airplane travel).  This position may require some travel, up to approximately 5% to 10% travel.  Additionally, while performing the duties of this job, the employee may be exposed to weather conditions prevalent at the time.  The noise level in the work environment is usually moderate.

Physical Demands

The work requires some physical strain such as long periods of sitting and walking while handling company business.  Specific vision abilities required by the job includes close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
